The Administrative Assistant will be the first contact when entering the Alzheimer’s Association Minnesota-North Dakota chapter. The Administrative Assistant will set the tone for constituents and volunteers over the phone and in-person. The position will provide administrative and data entry support for the organization as a whole, with a focus on Marketing. This includes answering the main phone line.
Areas of Responsibility:
- Answer phones and direct calls to the appropriate person
- Greet visitors to the office, including persons with Alzheimer’s disease
- Assist in maintaining and troubleshooting office equipment, including photocopiers, fax machine, postage machine, coffee brewer, and pop machine
- Order office supplies as needed
- Assist with Raiser’s Edge data entry, including:
- Assist the Database and Systems Manager and Data Entry Specialist in the creation and maintenance of constituent records
- Update CEO’s thank you mailings in system
- Perform all mailing list updates
- Code "Do not mail/call/email" requests
- Record volunteer hours
- Attend weekly marketing team meetings to update notes and dates in marketing plan.
- Update Google calendar with marketing plan due dates
- Assist Marketing Department with media impression collection, contacting media outlets and regional staff for report and scanning, sorting and organizing report information
- Assist VP of Marketing with invoice request and monthly expense
- Assist Marketing department with scheduling and setting up meetings, as well as note taking
- Open and distribute incoming mail daily; process and code donations
- Maintain and update staff lists
- Order gifts, flowers and cards as necessary
- Code monthly office teleconference invoice
- Maintain the company car calendar and keep key storage
- Assist staff with projects as needed
- Assist with monthly expense reconciliation as needed
- Other duties as assigned
Skills/Experience:
- One to two years receptionist or administrative experience
- One to two years data entry experience
- Excellent customer service skills
- Strong organizational skills
- Ability to work effectively and efficiently with a minimum of supervision
- Ability to manage multiple projects at the same time
