The Events and Administrative Assistant will participate in a broad range of activities for fundraising events and outreach programs and will provide administrative support to Mashomack Preserve staff. Working with a global conservation organization will broaden the selected candidate’s knowledge of worldwide conservation issues and strategies for addressing threats to biodiversity. This is a short-term position on Shelter Island; shared housing accommodations are available.
The Events & Administrative Assistant will assist staff with various aspects of producing Annual Benefit, Preserve Open House, and various other fundraising and outreach events; and provide office-wide administrative support and back-up phone coverage, as needed. The essential functions may include:
- Working with vendors, obtaining estimates, placing orders, following up on required paperwork;
- Keeping track of mailings and responses;
- Help with the coordination and execution of event set-up and tear-down;
- Help prepare displays and reports for fundraising and outreach events, and
- Work with volunteers at events.
RESPONSIBILITIES AND SCOPE
- Ability to work under close supervision or independently
- Duties are performed according to instruction or established practices; supervisor will resolve any problems or questions
- Limited financial responsibility, which may include purchasing supplies in consultation with supervisor
- Requires good interpersonal and communication skills for regular interaction with staff, volunteers, donors and visitors
- May serve as a team member for assigned work teams
- Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain
- Must be organized and pay careful attention to details
- Willingness to work a flexible schedule, including weekends and evenings as necessary.
- Does not supervise any staff, but may help plan the work of volunteers or interns
- Experience using Microsoft Office suite, including Word, Excel, PowerPoint and Outlook;Computer literate.
- Experience providing administrative support including one or more of the following: phones/customer service, mail distribution, photocopying, correspondence.
- Experience writing, editing, and proofreading written materials.

- Creative writing and display skills
- Event coordination experience
- Multi-lingual skills appreciated; Multi-cultural or cross-cultural experience preferred
- Strong written and oral communication skills
- Excellent organizational skills
- Ability to manage several projects simultaneously
- Form of transportation for personal use is preferred.
- Ability to learn procedures and follow instructions.
