Under general supervision, the Administrative Receptionist is expected to serve as the first point of contact both over the phone and in person at the Association Office and serve as association administrative support as needed.
Areas of Responsibility:
- Greet and assist all guests and staff who enter the Association Offices.
- Answer phones and accurately transfer calls to the appropriate branch or department.
- Manage all outgoing and incoming mail and distribute to the appropriate staff.
- Manage the inter-Association mailing process.
- Monitor and order all general office, mailroom, and kitchen supplies.
- Monitor vendor bills and ensure that all goods and services are received and that bills are paid in a timely manner. Maintain accurate accounts and files.
- Assist Association departments in the preparation of materials for meetings, meeting invites, and room reservations.
- Perform any necessary financial record keeping.
- Serve as data entry back up for the Finance Team. (e.g., Fixed Assets, Lease Accounting, and AP entries) and Membership/Programming (e.g. Daxko member updates and changes).
- Reconcile the corporate credit card monthly and share analysis on spend
- Support Community Services by reconciling all income and expense for grants.
- Prepare correspondence and communication as requested
Educational Background:
High School or equivalent, some college preferred with 1-2 years of experience in a similar position.Greet and assist all guests and staff who enter the Association Offices. Answer phones and accurately transfer calls to the appropriate branch or departme
Skills/Experience:
- Excellent written and oral communication skills.
- Excellent PC skills, spreadsheet and word processing skills.
- Exhibit strong leadership skills; possess a passion for member service, building and maintaining a culture of member service excellence
