The YMCA of Sequim is hiring a Member Services Coordinator. The Member Services Coordinator is responsible for the daily operation of the Member Services office and for general business support systems. Ensure timely and accurate processing of member applications, program registrations, billings and communications. The Member Service Coordinator will also supervise the Play Care department.  This is a full time position. Benefits include medical (including vision) for employee after 60 day waiting period, sick leave and 4 personal days per year. Retirement and vacation after eligibility requirements met. 

Areas of Responsibility: 

GENERAL DUTIES

  • Follows all association hiring/coaching policies including posting open positions in the Newton Application Tracking System, tracking applications and following new hire training/on-boarding procedures. Employee on-going coaching will include 30-60-90-day check ins and anniversary check in
  • Submits hours worked accurately on electronic time card; within timelines for supervisor approval
  • Accurately approve assigned time cards in required time frame
  • Processes all membership complaints and/or disputes and directs to appropriate staff
  • Logs and responds to telephone, data & office equipment technical problems and contacts maintenance/support contractors as needed
  • Assist members with billing issues and online registration process when needed
  • Assist in the planning and implementation of special program registration days or events
  • Monitors the system of ordering merchandise, business and other office supplies
  • Maintain Google calendar and YMCA Vehicles calendar to ensure scheduling accuracy of facilities, meetings, vehicles, and program class offerings
  • Ability to perform MSR duties as needed  

DAXKO DATA SYSTEMS MANAGEMENT 

  • Works with Billing Specialist to maintain systems for the timely and accurate preparation and distribution of billing invoices and receipts for membership dues, program and fundraising campaigns and events.  Also responsible for depositing funds to bank in a timely manner.   
  • Approve credit card and EFT refunds in Daxko
  • Support Directors and Coordinators in the set-up and monitoring of programs in Daxko
Skills/Experience: 
  • Strong administrative skills such as typing, word and data processing, communication skills.
  • Be skilled computers, Microsoft software and internet applications.
  • Be organized, detail oriented with ability to monitor & improve systems.
  • Two or more years of related experience including staff supervision.
  • Excellent communication and relationship skills
  • Be 21 years of age or older
  • Attends staff meetings and training's as required and complete all on-line training's which includes child abuse prevention training within 30 days of hire.
  • Upholds YMCA policies for safety, supervision, mandated reporting and risk management. Adheres to policies related to boundaries with youths.
  • Ability to respond to safety and emergency situations
  • Flexible schedule needed as on occasion may need to work evenings and/or weekends
Compensation/Benefits: 

Hourly: $15.00 - $17.00
