The Finance Assistant reports to the Vice President and Executive Director of Audubon Texas and will be responsible for a range of administrative and finance activities including, but not limited to: processing invoices, processing contribution checks, processing purchasing card reconciliations, managing donor information, and donor acknowledgement letters.
This is a full-time position that will require occasional travel and evening and/or weekend work related to special events.
Areas of Responsibility:
- Process contribution checks and upload correspondence in Salesforce as necessary
- Process contribution acknowledgment letters, prepare reports on donor activity for all cost centers; and update Salesforce
- Compile and manage mailing lists for special events and campaigns
- Track and maintain invitation lists for fundraising events
- Coordinate logistics for meetings and events
- Assist with preparation of contracts, Auklet contact for the state
- Process invoices through Audubon’s online invoicing system (OIS)
- Process purchase card reconciliations
- Assist centers with processing memberships, membership packets, and ensure records in Salesforce database are current and accurate
- Assist with membership drive lists and mailings
- Coordinate business systems compliance and resources with Texas cost centers
- Perform other duties as assigned
Educational Background:
Bachelor's degree in business, finance, accounting or any other related field is required
Skills/Experience:
- 1-3 years of relevant work experience required
- Superior written and oral communication skills, including active listening ability
- Customer-service orientation
- Excellent organization skills and ability to handle simultaneous projects and manage multiple tasks in a fast-paced, results and deadline-oriented team environment
- Proficient computer skills including Microsoft Office (Word, Excel, and PowerPoint) as well as database and design programs.
- Must be articulate and engaging, possessing interpersonal skills needed to engage a variety of audiences
- Must be a self-starter
- Ability to handle confidential information with discretion and integrity
- Willing and able to travel occasionally and work a varied schedule including some evenings and weekends, largely at peak event times (March, April, October, November).
- Ability to represent Audubon in the local community and interact with donors and board members
