The Grant Staff Accountant will work closely with the Director of Grants Administration and the Grants team to maintain Grant records in accordance with Federal and State and local regulations.
This position will effectively review and process partner agency invoices and reconcile Grant related accounts.

The Grant Staff Accountant will also ensure fiscal integrity and compliance with Grant Performance Standards and Uniform Guidance through the implementation of sound internal controls and adherence with fiscal policies and procedures.

Areas of Responsibility: 
  • Thinks, communicates and behaves as a cause-driven leader and role model for other staff and members when it comes to desired staff behaviors; promotes youth development, healthy living, and social responsibility in all job-related functions.
  • Ensure that reports and records are maintained accurately and released promptly.
  • Maintain proper documentation of YMCA Grant expenditures for reimbursements, credit card documentation, and purchase orders (e.g. receipts).
  • Maintain fiscal documentation files for required monthly and quarterly financial reports.
  • Provide fiscal data to Director of Grants Administration to prepare monthly financial statements.
  • Compile documentation for all audits. - Forward accurate accounts payable and accounts receivable records to Finance team for processing and track processing.
  • Assist in preparation of agency budgets prior to submission of individual program grant applications.
  • Review and understand all grant requirements and grant contracts.
  • Ensure that procurement and accounting transactions are properly documented in accordance with Federal, State and local regulations.
  • Review purchase requisitions, purchase orders and reimbursements from employees to ensure that they are completed accurately.
  • Review time and activity records for staff that are not 100% allocated to the Grant program, and assure that hours being charged to Grants have proper approval and are recorded accurately in Kronos and the general ledger.
  • Assure that YMCA Grant expenditures have been properly processed through the PO system and that there is adequate supporting documentation to be able to process payment requests.
  • Review monthly Credit Card Report for grant invoice
  • Maintain positive relationships with partner agencies for invoice processing.
  • Prepare monthly journal entries for grant accounts using SGA reports.
  • Ensure grant invoices and reports are released to the funders per contract due dates.
  • Actively participate in staff meetings, conferences, training sessions and workshops as assigned.
Educational Background: 
Bachelor’s degree from an accredited college or university majoring in accounting, or related degree and 5+ years non-profit grant accounting experience and or 3+ years accounting experience.
Skills/Experience: 
  • Prior experiences with non-profit accounting preferred.
  • Prior experience with grant funding preferred.
  • Detailed knowledge of intermediate functions of Microsoft Excel (e.g. creating formulas).
  • Excellent computer literacy, word processing and internet navigation.
  • Ability to communicate clearly (both written and verbal).
  • YMCA Team Leader certification; if not certified, must obtain certification within 12 months: Requires completion of: Principles and Practices, Introduction to Volunteerism, Introduction to Leading Others, Introduction to Fiscal, Management, Leadership Competency Assessment, Team Leader Certification Test.
