We are looking for a Sales Assistant/Coordinator to provide administrative support to AARP’s Media Sales department, which includes AARP The Magazine ad sales (print), as well as the AARP digital sales team. Must be able to prioritize workload, multi-task, and support all sales generating activities, including marketing efforts like direct mail campaigns & special events.
The demonstrated ability to provide the highest quality of work, attention to detail, accuracy, creativity, and neatness is a must. The Sales Assistant/Coordinator must be proactive, organized, and have excellent client-facing communication skills.
- Book travel for & complete expense reports for account managers in a timely manner; track payment processing
- Maintain contact database and CRM (Customer Relationship Mgmt) for individual account managers
- Organize and maintain a team calendar to track travel, vacations etc.
- Answer media sales phone line and help with advertising inquiries
- Assist account managers in the completion of RFPs, including presentations, rate calculations, coordinating positioning requests for in-book advertising
- Assemble media kits & presentations for mailings, meetings, etc; Coordinate mailing and messengering of issues to clients
- Prepare media reports and research including bi weekly action reports
- Organize sales meetings including tech set up & catering
- Utilize digital sales tools such as DFP, DSM, Salesforce to create opportunities for account managers, monitor campaigns and suggest optimizations to clients, account managers and media planner
- Utilize external media resources to assist sales with prospecting for new clients
- Utilize Krux software to research audience trends, suggest optimization opportunities for current advertisers and offer insight on plans for new advertisers.
- Pull and edit weekly campaign performance reports for clients & create detailed post campaign analysis reports for account managers
- Manage the extranet – upload and organize materials, fulfill requests for materials
The candidate will be an energetic self-starter with excellent organization, communication and interpersonal skills.
- A minimum of 1+ years office experience
- he candidate must be proficient in Excel, Word and PowerPoint. Outlook experience a plus.
- Must be able to multi-task and interact with clients and upper management in a professional manner and have office/internship experience.
- Interest in, and knowledge of sales and/or media industry (print and/or digital) preferred.
