Reporting to the Manger, Vendor Management, the Senior Coordinator, Vendor Management’s primary mandate is to manage the process of the vendor management lifecycle, from vendor selection to off-boarding, including post-engagement evaluation and analytics.  The Senior Coordinator, Vendor Management will maintain the Foundation’s vendor management system to ensure proper tracking and monitoring of all vendors as well as ensuring the accuracy of all such information.  In addition, the Senior Coordinator, Vendor Management will perform vendor risk score carding – requesting input from Subject Matter Experts (SME) and following up with Business Owners (BO) on any required actions or document needs. The Senior Coordinator, Vendor Management will maintain and manage other contract and vendor management duties as directed by the Manager, Vendor Management or the Senior Director, Contracts & Vendor Management and as time allows.

  • Managing data transfers from Vendor Selection Forms into the Vendor Managed Excel Tracker or other Vendor Management tracking system or tool that may be in place from time to time;
  • Produce Vendor Risk Scorecards, doing the initial assessments and scoring, then forwarding the scorecard to SMEs for input;
  • Following up as need to secure SME feedback, liaising with the BOs on any required documents or vendor input;
  • Following up with BO as necessary for any clarifications to Vendor Security Questionnaire (VSQ) responses or additional information that is needed;
  • Perform annual re-evaluations and re-scoring (e.g., fresh VSQs every 2 years for Level 1 & 2 vendors, updated attestation documents, annual D&B reports, etc.);
  • Manage the off-boarding of third parties to ensure that all CFF system access is deactivated and information is returned or certified as being securely destroyed;
  • Manage the dept’s quarterly report; aggregating metrics, managing the distribution and report feedback;
  • Ability to work autonomously in a matrix environment;
  • Exhibits strong customer service skills and ensures confidentiality and HIPAA compliance.
Educational Background: 
Bachelor's Degree
Skills/Experience: 
  • 2+ years in a procurement, contract or vendor management role.
  • Experience with contracting, data privacy (HIPAA etc.) and data security preferred.
  • Initiative, follow-through, sound and accurate judgment with an ability to support and explain reasoning for decisions.Includes appropriate people in decision-making process and ensures that timely decisions are made.
  • Analytical skills with the ability to concentrate and pay close attention to detail.
  • Intermediate to advanced knowledge of Microsoft Office including Outlook, Word, PowerPoint and Excel.
  • Interpersonal skills necessary to deal effectively with a variety of employee and vendor issues.
  • Strong written and verbal communication skills.
