The Regional Office Assistant assists in the coordination and management of the St. Cloud Office and Western MN Region in: programs, special events, advocacy and development. This role provides administrative support for the Community Engagement Manager and Program Managers in the Western MN Region.
Areas of Responsibility:
FIRST POINT OF CONTACT
- Answer telephone messages; take appropriate messages and direct calls as necessary. Retrieve and return calls, voicemails as necessary
- Greet visitors. Provide quality customer service. Ensure proper follow up with appropriate staff
ACCOUNTING/REPORTS
- Assist in the data entry of information into the chapter’s date bases, Personify, Convio and Raiser’s Edge
- Prepare bank deposits
- Prepare invoice requests
- Prepare payment request forms
- Compile data as necessary to assist with reports and planning
- Prepare and mail CSQUEI surveys
OFFICE COORDINATION
- Maintain office supply inventory and Order supplies and brochures
- Maintain shipping and receiving of mail, packages and deliveries
- Responsible for light office cleaning
- Maintain office equipment; phones, copier, postage meter
- Provide guidance to office volunteers
- Serves as IT point of contact as needed
- Serves as point of contact for office maintenance needs
ADMINISTRATIVE SUPPORT
- Work collaboratively with volunteers, staff, external contacts, and diverse populations to build and maintain successful teams
- Assist in the coordination of key program services.
- Assist in the coordination of the signature Alzheimer’s Association fundraising event: Walk to End Alzheimer’s® and other benefit events and Advocacy efforts within the Region
- Copy and prepare information for class handouts, care consultation packets and help line inquiries.
- Train and provide guidance to office volunteers, interns while managing and prioritizing projects
- Other duties as assigned
Educational Background:
Bachelor’s degree preferred, Minimum High School Diploma or equivalent
Skills/Experience:
- Prior experience with special events and social media preferred
- Computer proficiency and use of Google Suite applications
- Willingness to work on evenings and weekends if necessary
- Ability to operate a motor vehicle. Must be in possession of a valid driver’s license and insurance
- Occasional travel by car to attend meetings or health fairs within Chapter territory. Mileage reimbursed.
- Ability to sit for long periods of time and move about to retrieve files
- Ability to occasionally lift 50 lbs, bend and stoop
