Associate, Pre-Corps Operations

The Associate, Pre-Corps Operations will sit on the District and School Partnerships and External Affairs team and report directly to the MD, External Officer. As the Associate, Pre-Corps Operations you will support the logistics, operations and communications of our incoming corps members while also partnering with other operations and logistics support roles across the region to run an efficient, cost-effective, and empowering environment for corps member and staff support. The ideal candidate enjoys working in teams, builds strong relationships and has strong verbal and written communication skills. They have strong customer-service orientations, exceptional organizational ability and is equally motivated by internal operations and engaging directly with incoming corps members and current corps members.

Areas of Responsibility: 

Incoming Corps Member Support, Communication and Coordination (25%)

  • Manage requests coming to gnoinfo@ inbox for majority incoming corps members as well as current corps members and alumni, and respond in a timely matter to questions around on-boarding, AmeriCorps, Institute, certification, alumni status, or connect them with the right point person on our team
  • Partner with the Manager, Pre-Service Development to create a cohesive communications plan and tracking systems for all corps member deliverable
  • Develop project plans and strategy for all operations of hiring events including managing the acquisition of space, food, and technology, as well as travel and lodging for any non-local participants
  • Logistically support corps member-facing events in partnership with other members of the Programs Team

Credentialing: AmeriCorps and Teacher Certification (25%)

  • Collaborate with Manager of Finance and Compliance to lead all AmeriCorps training and corps members
  • Chiefly responsible for accurate records, documentation, and completion of paperwork and requirements related to Teacher Certification and AmeriCorps for all incoming corps members
  • Work with the Manager, Pre-Service Development to plan the teacher certification process, and then lead the execution for that process in the region, including communicating expectations, tracking testing progress and other required documentation, and reporting out the data and preparing it for school partners via the Licensing Reports
  • Regularly check-in with both partner certification programs, The New Teacher Project and Relay Graduate school of Education on license statuses and file transfers
  • Become an expert in AmeriCorps benefits, pre-enrollment eligibility process, and Louisiana Department of Education certification requirements and processes to support corps members and staff

Data Management and Operations (25%)

  • Create and maintain systems that ensure constant and efficient contact with our corps members, hiring partners and external stakeholders
  • Create the data warehouse for incoming and current corps members to provide seamless external reporting to funders and partners, track completion and progress on certification, compliance and the corresponding paperwork to ensure corps members are certified and highly qualified
  • Track, analyze and monitor incoming corps member retention share trends with your team to influence strategy
  • Work closely with the MD, External Officer to identify trends in corps member placement and pipelines that enable highest impact while supporting with the administration and tracking of partnership agreements, documentation, and invoicing

Finance and Budgeting (15%)

  • Partner with the MD, External Officer in the creation of a sound budget of our financial resources towards corps member onboarding and hiring
  • Create and manage strong systems for information collection and fiscal compliance measures
  • Lead logistical support for the external affairs team including managing the external affairs team budget and non-payroll spending via Am Ex tracking and management

Educational Background: 
Bachelor’s degree required
Skills/Experience: 
  • Minimum of 2 years of experience strongly preferred
  • Previous experience as a Teach For America corps member strongly preferred
  • Knowledge of MS Outlook, PowerPoint and Excel required

  • Willingness to work occasional early mornings, evenings or weekends (for 4-5 Hiring Events throughout the Spring and other regional events during the year)
