The mission of the Alzheimer’s Association is to eliminate Alzheimer’s disease through the advancement of research, to provide and enhance care and support for all affected and to reduce the risk of dementia through the promotion of brain health.  The key responsibilities of the Program Assistant include clerical and general administrative functions directly related to the delivery of chapter programs and services. Duties include, but are not limited to:  program scheduling, outreach, event promotion, tracking, data entry, report generating, and coordinating meetings, agendas, and materials as needed. This is a grant funded position.

Areas of Responsibility: 
  • Work with the Alzheimer’s Association staff and community partners to ensure accurate, timely, and efficient delivery of programs and services and volunteer engagement
  • Engage in ongoing communication with grant partners and community organizations in-person, via telephone, or by e-mail
  • Schedule meetings, trainings, and any other appointments on behalf of program staff. 
  • Assist staff and volunteers with ongoing preparation of materials for upcoming programs/services, such as health and wellness events, physician outreach packets, outreach, support groups, education classes, etc.
  • Accurately collect and input data into constituent and volunteer management software systems (i.e. Personify, Convio, Access, etc.) to ensure quality reporting and assist with quality assurance (CSQEI) procedures 
  • Engage program constituents, and host sites for promotion of chapter events;  send flyers and event reminders
  • Collaborate with outreach staff to cultivate relationships with chapter’s diverse constituents. Priority populations include but are not limited to: African American, Hispanic/Latino, Native American, LGBTQ, geographically isolated, and faith-based communities
  • Attend health and wellness events, representing the Association, providing disease information, and explaining the Association’s programs and services
  • Promote upcoming Chapter events throughout the Chapter region
  • Create necessary tracking and data collection forms, update existing forms and templates
  • Update and maintain resource lists, Community Resource Finder database, Blanche Palisano Library, and access to Green Field Library
  • Attend and take minutes for meetings and conference calls on an as-needed basis
  • Support program staff  to ensure  goals are met in accordance with National Standards, Common Program Plan, current grant work plans, and current Strategic Implementation Plan
  • Assist in various capacities with the delivery of all programs including: Information and Referral, Care Consultation, Education & Training, Support Groups, Early Stage, Respite, Trial Match, Safety Services, Advocacy, and any other programs throughout the service area
  • Participate in other duties as assigned 
Educational Background: 
Bachelor’s degree and three years of related experience
Skills/Experience: 
  • Strong administrative skills 
  • Self-motivated with the ability to set priorities and manage multiple tasks under minimal supervision in effective and efficient manner
  • Highly organized, strong written and verbal communication skills
  • Knowledge of  community organizations, nonprofit administration, grant reporting and dementia-related experience preferred
  • Intermediate to expert skills in Microsoft Office (i.e. Word, Excel, Access, and PowerPoint)
  • Work effectively in a team-based environment with staff and volunteers
  • Ability to travel by car throughout the eight county region of Western New York with occasional out-of-area travel
  • Flexible schedule required including nights and weekends
