The Event Coordinator is primarily responsible for assisting the Event Manager in the planning, execution, and evaluation of Chapter special events, including the Walk to End Alzheimer's, A Reason to Hope breakfasts, and The Longest Day, and facilitation of approved third-party events benefiting the Chapter and the Association.   This position requires extensive travel throughout the chapter's service area.

Areas of Responsibility: 

Plans and executes all Chapter special events including the Walk to End Alzheimer's, A Reason to Hope breakfasts, and The Longest Day:

  • Works with Event Manager and Director of Development to strategically develop, manage, and grow Chapter fundraising events and to determine goals and budgets for events.
  • Collaborates with Event Manager and Marketing and Communications staff to promote events.
  • Serves as primary staff liaison to event planning committees.
  • Partners with the Volunteer Coordinator to recruit, train and manage event volunteers; communicates responsibilities and expectations to volunteers and staff to ensure that they are effectively utilized.
  • Grows events by following established models, motivating staff and volunteers and creating strategies to increase participation and revenues.
  • Solicits sponsorships and in-kind donations for events.
  • Meets or exceeds budget projections for events.
  • Negotiates contracts with outside vendors, organizes logistics and visual experience and designs and produces event collateral.

Facilitates approved fundraising and third-party events benefiting the Chapter and the Association:

  • Ensures compliance with Association policies, guidelines, and standards for fundraising and third-party events.
  • Ensures that all terms of third-party agreements are met by both the third party and the Chapter.
  • Serves as primary staff liaison to contacts for approved third-party events.
  • Engages Chapter staff and volunteers as appropriate to support third-party events.

Conducts community outreach:

  • Informally advocates for those we serve and the services offered by the Chapter.
  • Presents and provides information to community partners on Association programs and services.
  • Supports and participates in formal advocacy and public policy activities as requested.
  • Represents the Chapter at public events, conferences, and media events as needed.

Additional responsibilities:

  • Complies with all Association policies, procedures, standards, and applicable regulatory requirements.

Educational Background: 
Bachelor's degree
Skills/Experience: 
  • 2+ years' experience in event planning for a non-profit organization strongly preferred
  • Strong organizational, project, and time management skills to independently and collaboratively meet multiple deadlines in a fluid environment
  • Excellent public speaking skills; ability to represent the organization with poise, confidence and professionalism
  • Self-starter with keen strategic thinking, analytical, and problem-solving skills to make timely and appropriate decisions
  • Excellent written and verbal communication skills to work effectively with diverse populations
  • Flexibility and adaptability to work independently and as part of a team
  • Excellent interpersonal skills to build relationships and teams
  • Proven ability to recruit, train and motivate volunteers to achieve objectives
  • Must have interest in and/or willingness to develop working knowledge about Alzheimer's disease and its impact on diagnosed individuals, families, and caregivers
  • Proficiency in Microsoft Office and Google Apps
  • High level of integrity, diplomacy, and initiative
  • Absolute commitment to confidentiality
  • Ability and willingness to work occasional evenings and weekends as needed for the job
  • Ability and willingness to travel locally and regionally as needed to perform job duties
  • Possess valid driver's license, access to a reliable vehicle, and proof of insurance
