The Legal Administrative Assistant (LAA) provides a full range of administrative and program support for the legal department of the Conservancy’s West-Central Division. This position is supervised by a senior attorney and works with multiple attorneys and legal support staff in Minneapolis as well as in other Conservancy offices.
The LAA performs various administrative tasks, including: organizing and maintaining paper and electronic files, scanning and packaging original documents for delivery to central records center, sending and distributing mail, answering phones, staffing reception desk as needed, preparing documents, maintaining document templates, and purchasing and maintaining supplies and equipment. In addition, the LAA will coordinate domestic and international travel arrangements, calendar for departmental staff, file internal expense reports, process invoices, and schedule and coordinate logistics of meetings and special events, including setting up video and audio conferencing. The LAA will also use available systems and resources to maintain and track data and produce reports as needed, and to maintain corporate delegation records. The LAA may assist with the supervision of departmental volunteers and interns, assist with reviewing documents for accuracy, conduct file or internet research, and type legal descriptions. They will have frequent interaction with staff throughout the program and in other Conservancy offices, and with vendors.
RESPONSIBILITIES AND SCOPE
- Does not supervise any staff, but may help plan and direct the work of volunteers or interns.
- Duties are performed according to instructions or established practices.
- Limited financial responsibility, which may include processing invoices, preparing accounting forms, petty cash, purchasing, or travel expense reports.
- May serve as a team member for assigned projects.
- Prioritize tasks in the absence of specific instructions and make day-to-day decisions within the scope of work assignments.
- Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain.
- Experience managing diverse activities to meet deadlines.
- Experience providing administrative support including some or all of the following: phones/customer service, mail distribution, equipment maintenance, coordinating travel arrangements and meetings, organizing files or related activities.
- Proficient with Microsoft Word, Outlook, and Excel.
- Experience working and communicating with a wide range of people.
- Experience writing, editing, and proofreading written materials.

The salary range for this position is $35,000 - $39,000, depending on qualifications.
