The Alzheimer's Association, New York City Chapter, seeks a full time Programs Assistant. The mission of the Alzheimer's Association is "To eliminate Alzheimer's disease through the advancement of research; to provide and enhance care and support for all affected; and to reduce the risk of dementia through the promotion of brain health." The Alzheimer's Association, New York City Chapter provides a variety of education, information and support services to persons with dementia, their families, health care professionals, and the community.
Under the supervision of Care and Support Program Operations Manager, the Care and Support Programs Assistant is a key part of the program team. The Programs Assistant will provide operational support to Care and Support program team members as they develop market and deliver programs and services to meet the needs of persons with Alzheimer's disease and dementia, their families and caregivers, professionals, paraprofessionals and community members in accordance with the Alzheimer's Association mission and strategic plan. The Programs Assistant will manage a high volume of data, coordinate projects, and provide input into the development of effective administrative processes to ensure efficient program operations.
- Accurately process a high volume of data into various constituent databases. Ensure accurate input of a range of program, event and educational information (including registrations, attendance, evaluations).
- Build and maintain e-Marketing lists through multiple sources, including in-reach of the Association's client contact and meeting/event reporting systems and through contact information obtained by Chapter staff outreach.
- Use the Convio/Luminate CRM system for e-Marketing to promote events and programs.
- Organize and submit event-related paperwork to home office and other reporting organizations.
- Assist with preparation and maintenance of the Programs event calendar and marketing materials.
- Assist with updating the Community Resource Finder, a listing of programs and services for the benefit of constituents.
- Maintain organized and inventoried resource closet. Order program materials and supplies as needed or requested.
- Prepare informational packets for events. Assist program staff with additional preparation for and logistical coordination of events, trainings and other programs as needed.
- Process invoices.
- All other duties as assigned.
- The successful candidate for this position must have strong administrative skills (e.g., detail-oriented, good time management, and overall organizational skills), excellent interpersonal and communication skills (both written and verbal) and strong technical skills.
- Must have the ability to meet deadlines, work independently and collaboratively, coordinate projects, possess a strong work ethic and demonstrate a high level of accuracy.
- Must be tech savvy (Google Docs, Google Sheets, Google Mail, accurate data entry into complex data systems, knowledge of social media platforms such as Instagram, Facebook, LinkedIn etc.)
- Proficient in Google Chrome, Microsoft Windows 7, Internet Explorer, Microsoft Office, including MS Word, MS Excel and MS PowerPoint.
- Experience with CRM databases, MS Access, Personify, Convio/Luminate a plus.
