The Executive Assistant performs a variety of administrative and secretarial duties for the Senior Management team. Responsibilities may include resolving administrative problems and inquiries; compose, edit and proofread correspondence and reports, and prepare a range of administrative documents. The position requires a variety of skills, and strong knowledge of organizational policies and procedures.
Areas of Responsibility:
- Provide administrative support to members of the Senior Management team, maintain calendars, schedule appointments and meetings in Outlook.
- Prepare, transcribe, compose, type, edit, and distribute agendas and minutes of the board meetings and other meetings as assigned.
- Schedule and coordinate meetings, events, interviews, appointments, and/or other similar activities for supervisors, including coordinating travel and lodging arrangements. Serve as recorder for meetings requiring minutes. Track all assigned volunteer committee meetings and rosters.
- Process and/or train all expense reports, Y-Buys, invoices, and other financial documents for assigned members of Senior Management as needed.
- Establish, maintain, and update files, records, and/or other documents; develop and maintain data, and perform routine analyses and calculations in the processing of data for recurring internal reports.
- Perform HR administrative duties in collaboration with the Human Resources department (reviews).
- Serve as back-up for Senior Executive Assistant and perform miscellaneous job-related duties as assigned.
Educational Background:
High school education, or equivalent; two years or college or more preferred.
Skills/Experience:
- Minimum of 5 years of administrative experience.
- Strong computer skills in Microsoft Office especially Outlook, Word, Excel, and PowerPoint.
- Fast and accurate keyboarding skills.
- Experience in composing, editing, and proofing correspondence.
- Detail orientated, excellent proofreading and accuracy skills.
- Excellent human relation skills in relating to volunteer and staff leadership of the YMCA and the community at large.
- Ability to work independently, manage multiple projects, and use discretion in handling confidential matters.
- Ability to work with staff at all levels within the organization.
- Ability to communicate effectively, both verbally and in writing.
- Excellent organizing and coordinating skills.
- Demonstrated project management experience.
- Ability to work with a diverse population.
Work Conditions:
- Must be able to sit and work on a computer for extended periods of time.
- Must be able to travel locally to YMCA branches and other program sites.
- This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
- Must be able to physically assist in special events such as setting up, taking down, and lifting, carrying or pushing up to 50 pounds.
Compensation/Benefits:
Hourly: $25.00 - $30.00
