Provide direction and oversight to the Constituent Services Department; responsible for supervision, data management, office operations, and constituentrelationsto meet Alzheimer's Association established objectives.

Areas of Responsibility: 

Supervision:

  • Directly supervise Constituent Services Department including staff and department functions.
  • Conduct employee evaluation, performance oversight and feedback, disciplinary and other supervisory roles as needed.
  • Oversee projects assigned to Constituent Services Department.

 Database Management:

  • Manage all facets of our data systems including the maintenance of The Raiser's Edge, Personify, Team Approach and Blackbaud Luminate.
  • Coordinate all data entry for the Chapter, including to the programs and services department, including the collection and input of biographical and service usage, including helpline, care consultation, education and training, and support groups, to the constituent relationship management database.
  • Coordinate all aspects of the chapter's constituent acknowledgement program including thank you letters and calls and other relevant activity.
  • Produce queries and reports, as requested.
  • Create bulk mailings and streamline various lists to ensure cost effective mailing processes. Maintain quality control measures to ensure accuracy and integrity of data.
  • Provide training as necessary to staff and volunteers on constituent relationship management databases.
  • Perform and/or assist staff in data analysis functions to identify trends and gaps, as well as assure quality.
  • Assist with compilation of required progress reports as needed.

 Office Management/Operations:

  • Maintain all offices systems including but not limited to mail services,internet based fax system, phone system (VoIP), communal filing and documentation systems, and inventory software.
  • Oversee production and distribution process for marketing requests of education programs, support groups, and other chapter events.
  • Coordinate all inventory and related processes including but not limited to:office supplies, brochures, education packets and health fair supplies.
  • Continually seek and implement ways for the Chapter to increase cost effectiveness and streamline processes.
  • Schedule and verify the completion of office clerical and operational tasks, as assigned.
  • Perform financial duties such as processing mail, creating deposits and processing funds as stated in the approved financial guidelines.
  • Work with Chief Communications Officer to announce cancellation of programs.

 Other:

  • Represent the Alzheimer's Association at public events.
  • Greet guests in person or on the phone. Answer questions and direct inquiries to appropriate staff.
  • Assure compliance with all Association policies, procedures,standards and applicable regulatory requirements.
  • Other duties as directed.
Educational Background: 
Associate's degree, Bachelor's degree preferred.
Skills/Experience: 
  • Two years of direct supervisory experience
  • Database management experience
  • Excellent written/verbal communication and organizational skills
  • The ability to meet deadlines and work effectively with volunteers,community leaders, and constituents
  • Enthusiasm to represent the Alzheimer's Association effectively to all constituents
  • Proficiency in Microsoft Office applications and constituent relationship management systems preferred
  • Must have a clean NYS driver's license,access to a vehicle, and availability to travel throughout coverage area
  • Ability to represent the Association in a professional and appropriate manner
  • Ability to interact with diverse groups
  • Ability to work with and train volunteers and staff
  • Ability to present information clearly and respond to questions
  • Ability to work independently on a variety of projects, prioritize and meet deadlines
  • Ability to accept supervision and feedback
  • Ability to self-motivate, take initiative, motivate others and lead a team
  • Local and regional travel
