We are seeking a Coordinator, Operations to support our administrative and programmatic operations to maximize effectiveness and enable Buffalo to reach its ambitious goals.  The C,O plays a pivotal role in shaping corps and staff culture and strengthening our position in the local community through logistical support to various staff members, teams, and projects.     
The C,O must be a natural self-starter, excel in creating and maintaining organizational systems, and possess a strong customer service ethic.  The C,O will report directly to the Director, Teacher Leadership Development, but will work with various people and teams across the office. 

Areas of Responsibility: 

A self-starter, the Coordinator, Operations feels personally responsible for ensuring the support and accountability of all regional partners (staff, corps members, etc). The Coordinator, Operations is willing to ‘dig in’ to operations work to create systems and solutions proactively and communicate those systems with clarity and efficiency. 
 
Regional Administration (60%)

  • Acting as a liaison to building management, local vendors, and Teach For America's national support teams, such as technology, marketing, administration, and finance
  • Providing exceptional customer service to external partners, callers and visitors
  • Coordinating budget planning, tracking budget to actual expenses, paying bills, managing the local checking/credit card account, overseeing staff expenditures and reimbursements, and making recommendations for fiscal strategy
  • Designing and implementing staff trainings and systems to ensure 100% compliance for all financial systems regionally
  • Assisting MD,STO in tracking regional progress to End-of-Year goals and communicating updates regularly to the staff team
  • Managing the office and developing systems to enhance brand identity, productivity, and staff satisfaction, including maintenance of office technology and efficient use of space and resources
  • Developing a process and tracking system to facilitate successful transitions for new staff members
  • Facilitating strong team culture through supporting logistics planning and execution of events, including: TLD events, recruitment events, community engagement opportunities, development events and Induction
  • Ensuring office space promotes upcoming events, regional goals, and ways for corps, alum and community to engage.
  • Providing operational support to the region's functional teams, including event planning and project support
  • Assisting in executing strategies for all corps member and alumni survey campaigns
  • Maintaining tracking systems for quantitative and qualitative information for entire staff team
  • Maintaining all calendars and invites for all staff and CM events
  • Maintaining cleanliness, tidiness, and accessibility of office and event spaces, including well-stocked supplies.
  • Ensuring regional team manages work to national and external deadlines

Corps Member & Alumni Support and Onboarding (40%)

  • Facilitating all AmeriCorps processing, including exiting and entering corps members, regional management of AmeriCorps responsibilities, and documentation to ensure grant compliance
  • Working with TLD team to create and execute against matriculation and confirmation plans including goals for CALI and CSI
  • Supporting the manager of the corps member matriculation and onboarding process, including communication around Institute processing, university enrollment and New York State certification
  • Working with TLD team to create and send all recurring communications (CM weekly emails, Alumni monthly blasts, etc) updates to corps members
  • Supporting TLD team with CM policies and procedures details, as necessary
  • Coordinating community partners and current corps members in participating in onboarding of incoming corps members
Educational Background: 
Bachelor's degree or high-school diploma with equivalent experience
Skills/Experience: 
  • 1-3 years professional experience

Work Demands

  • Some weekend and late night work required, to assist with execution of regional events
  • Ability to work out of the Teach For America-Buffalo office required
  • Limited overnight travel required-1-2 times per year
