The Coordinator, World Service oversees the stewardship, communications and logistics of the World Service Campaign, YMCA of the USA’s annual campaign to raise awareness of and support for international YMCA programs, partnerships and capacity building. This includes planning, fundraising, cultivation, datamanagement, gift entry, analysis and reporting.  This position communicates regularly with local YMCA leaders, individual donors, retirees and volunteers to achieve the annual goal and deepen the collective understanding of the impact of World Service. This includes web-based and on-site training, the development and management of communication materials and social-media, and the organization of phone-a-thons at local YMCAs.  This position also supports the planning and stewardship of the Global Planned Giving and Major Gifts Programs.

This position will be based at the national office location in Chicago, IL.  This position does not have the ability to work remote.

Areas of Responsibility: 

Stewardship

  • Provides oversight of pledges and gift tracking in Raiser’s Edge in a timely manner
  • Implements and facilitates acknowledgment procedures with confidentiality
  • Administers reconciliation of income, pledges and campaign contributions
  • Responds to donor and campaigner inquiries and concerns in a timely manner
  • Improves and strengthens donor recognition program
  • Provides oversight for Raiser's Edge records, reports and data management procedures with Financial Services, Financial Development and Information Technology departments to ensure proper database management and stewardship
  • Produces, reviews and controls donor acknowledgments and other outgoing correspondence, including pledge reminders and special giving reports
  • Manages calendars for training events, campaigner cultivation and outreach
  • Manages gift and grant documentation to maintain compliance with legal requirements as well as align with the YMCA of the USA records management policies and responsible for Raiser’s Edge Technical Procedures Manual
  • Responsible for accurate giving, constituent and campaign analysis reports to monitor campaign progress and growth
  • Manages record-keeping, scanning and accuracy of policy procedures for Raiser's Edge and other programs connected to online giving, gift entry and data management (Crystal Reports, Team Raiser, Online Express)

Communications

  • Responsible for training YMCA staff and volunteer campaign leaders through webinars, on-site workshops and phone-a-thons
  • Develops social-media and website content related to World Service impact stories and giving opportunities for all internal and external communication channels together with Marketing & Communications Department
  • Creates presentations for donor education, impact reporting and cultivation
  • Manages the email list for World Service newsletters and special communications
  • Responsible for sending World Service newsletters through Exact Target to analyze constituent engagement
  • Manages content and inventory of key communications pieces
  • Collects, organizes and manages donor testimonials, photos and impact stories to develop content for all World Service communications 
  • Responsible for mass mailings in coordination with World Service leadership, Marketing and Office Services Department
  • Develops resources for local Ys to engage program participants in World Service

Fundraising

  • Works closely with World Service leadership to plan, communicate, and increase participation in all Campaign Divisions, including the Global Planned Giving and Major Gifts Programs
  • Works with campaign leadership to develop, organize, update and implement campaign growth strategies and logistics
  • Provides oversight to ensure efficient and accurate use of data management systems, including Raiser’s Edge, Team Raiser and online giving platforms with Financial Development
  • Leads fundraising projects with local Y leaders, retirees and individuals interested in starting new initiatives to advance World Service, Global Engagement and Y to Y Partnerships
  • Collaborates with Y-USA Diversity, Inclusion and Global Engagement (DIG) staff and liaisons to support strategies to increase local DIG YMCA understanding and giving to World Service 
  • Educates constituents on YMCA World Service and International Group activities and opportunities
  • Completes service delivery forms for the campaign
  • Trains and supervises World Service interns to ensure quality instruction and guidance for quality results, as needed
  • Actively participates as a team player in the International Group goals, projects and conferences
  • Performs other duties to support Director, World Service and Vice President, International Group, as needed
Educational Background: 
Bachelor’s degree in International Development, Fundraising, Marketing, Public Relations, Communications and/or related field is preferred
Skills/Experience: 
  • Minimum 3years of administrative and/or coordinator experience is required
  • Knowledge and experience with Raiser’s Edge is preferred
  • Knowledge of Exact Target and YMCA Exchange or other web-based application tools used for managing content for donor communications is preferred
  • Fundraising experience is preferred
  • Advanced computer and Microsoft Office skills is required (Windows, Word, Excel, Outlook and PowerPoint)
  • Experience with web conferencing applications is preferred
  • Excellent verbal and interpersonal communication skills are required.  Second language preferred
  • Knowledge of general accounting principles and budgets is preferred
  • Ability to learn and keep abreast of technology and social media platforms is required
  • Proven ability to gather and analyze data, information, and prepare reports is required
  • Proven ability to create, compose, and edit written materials is required
  • Demonstrated ability to multi-task, prioritize and escalate issues to the proper authority, when necessary, is required
  • High level of integrity, ethics and cultural competency is required to represent Y-USA in a global setting
  • Ability to work well independently and as a team member is required
  • Ability to make presentations and speak in front of groups is required
  • Ability to travel 10% of the time is required
  • Knowledge and understanding of the YMCA’s structure, mission and cause is preferred
  • Commitment to the YMCA character development values of caring, honesty, respect and responsibility is required
