The Human Resource Associate is responsible for providing transactional support for the Human Resources Department. The incumbent will take lead with daily administrative task i.e., collecting, organizing, reviewing, data entry and auditing HR files.  Primary focus is compliance as it relates to onboarding, unemployment claims, administrative reports and personnel files

Areas of Responsibility: 

Manage projects & processes effectively and efficiently as it relates to  various components of Human Resources. 

Personnel File Management:

  • Maintain and update all personnel records ensuring that files are in compliance with legal requirements and are always audit ready
  • Responsible for Records Management – making sure that all boxes for storage are properly labeled, make lists of all files stored. Filing performance management documents
  • Ensure that appropriate credentials i.e. degrees/diplomas/certifications/licenses etc. are received from all employees along with new hire packages and filed
  • Maintain spreadsheet to track and update degrees/diplomas/certifications/licenses
  • Files performance management documentation into employee files
  •  Skills needed for personnel file management
    • File records away in alphabetical or numerical order.
    • Code files for proper placement
    • Retrieve files as necessary
    • Generate labels and bar coding as necessary to track files

Onboarding:

  • Review and approve all new hire paperwork including clearances
  • Develop ,track, and report on provisional clearances status
  • Conduct follow up calls to employees regarding clearances and missing required paperwork

HRIS Management:

  • Prepares source data for HRIS entry by compiling and sorting information
  • Analyze system or data entry errors with the intentions of problem solving
  • Input new hires and  clearances into HRIS system
  • Create reports in HRIS sytem and be able to explain reports i.e., merit increase reports, EEOC reporting, New Hire reports

Customer Service:

  • Respond to all employment verification request and immigration inquires; prepare support letters etc.
  • Provides onsite field training related to onboarding or related HR topics
  • Problem solve HRIS system obstacles with employees
  • Conducts presentations as required
  • Assist with department projects

Payroll:

  •  Track branch payroll authorizations & work directly with branch staff to ensure timecard compliance
  •  Collaborate with payroll manager as it relates to HR task
Educational Background: 
Bachelor’s Degree preferred
Skills/Experience: 
  • Two years’ experience with transactional Human Resources required
  • Ability to manage a high volume of paper work
  • Three years experience with Ceridian/Dayforce or comparable system
  • Proficiency in the use of Microsoft Office (Outlook, Word and Excel)
  • Ability to work independently
  • Two years’ experience as a file clerk preferred
  • HRIS certificate or certification and/or specialization preferred
  • Professional Human Resource certification Required
Compensation/Benefits: 

Hourly: $12.84 - $19.25
