The Operations Manager will provide overall direction for HR and Operations functions for the Global Lands team. S/he will also be responsible for functions such as Facilities, Information Systems, Office Management, and/or Volunteer Programs.
The Operations Manager for Global Lands helps meet the strategic priorities of the program by developing and implementing tactics for approved plans, and completing day-to-day tasks. Specifically,
- S/he provides assistance to all levels of staff on HR issues and manages HR processes including personnel changes, recruiting & onboarding, learning and development, salary actions, the annual performance assessment process, diversity analysis, employee recognition, and key talent tracking.
- S/he manages central administrative processes, including facility management, telecommunications, central filing, maintaining office supplies and equipment, managing contracts, delegations of authority, and purchasing requests.
- S/he provides guidance in satisfying requirements based on extensive knowledge of policies and procedures.
- S/he will interpret guidelines and analyze factual information to improve workflow and solve problems.
- S/he will provide recommendations and targeted training to improve the functional activity s/he manages.
- S/he must have advanced knowledge of the systems and resources utilized in each department and must apply that knowledge to managing support and communications related to the resources.
- S/he coordinates time reporting, ensuring time sheets are completed on time, ensuring employees are charging their time correctly, and monitoring vacation balances.
- S/he approves expense reports, ensuring reports are completed according to the requirements and costs are charged to appropriate budget centers.
- S/he manages the design, planning, and implementation of major events, such as staff retreats and conferences.
- S/he assists with internal communications and management of internal content sharing.
- Help manage and execute the Lands team employee engagement strategy with support and guidance from the Deputy Director of Global Lands
The Operations Manager works closely with the Deputy Director for Global Lands and the Regional HR Manager, as well as coordinating the Operations team in Global Lands. S/he also works in close cooperation with conservation staff, interns, volunteers, vendors, and human resources.
RESPONSIBILITIES AND SCOPE
The Operations Manager will do a combination of the following:
- Act independently and in supervisor’s stead as needed; exercise independent judgment to identify and solve problems;
- Develop and implement new initiatives that will ensure department and organization-wide goals and strategies are achieved;
- Ensure programmatic commitments, Conservancy policies and procedures, and legal requirements are met and managed for compliance. Decisions may bind the organization financially or legally;
- Oversee some day-to-day financial activities such as purchasing, processing invoices, negotiating, and contracting with vendors;
- Ensure contracted vendors carry required insurance coverage and that appropriate documentation is obtained and maintained;
- Maintain confidentiality of frequently sensitive and emotionally-charged information;
- Manage and implement multiple projects, including setting deadlines and ensuring accountability;
- Travel occasionally, working long and flexible hours as needed;
- May supervise one or more administrative or professional staff, responsibility includes training and professional development;
- Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain; and
- Work is diversified and may not always fall under established practices and guidelines.
Additionally, for programs outside of the US, may include one or more of the following:
- Manage or oversee activities related to in-country legal, labor and financial compliance.
- Manage and oversee local payroll processes, including Insight uploads.
- Liaise with WO HR Global Benefits team as necessary on locally-provided employee benefits.
- Manage all Operations aspects of entry into new countries in the region, and exit from countries where TNC is ceasing operations.
MINIMUM QUALIFICATIONS
- Bachelor’s degree and 5 years related experience or equivalent combination, including 2 years managing operations functions;
- Experience managing and implementing multiple projects;
- Experience generating reports, and analyzing and interpreting data;
- Experience negotiating agreements;
- Experience supervising staff, interns, and/or volunteers; and
- Experience working with cross-functional teams.
- Experience, coursework, or other training in principles and practices of operations management or human resources
- Demonstrated experience handling confidential information
