Under the direction of the  Executive Director/CEO, the Associate Executive Director oversees and manages the development, implementation, administration, and evaluation of assigned areas of operations, to include;  membership retention, program growth, and facility management. The opportunity to provide cause-driven leadership for the Norwich YMCA, while providing outstanding membership experiences where people are connected and supported in order to expand membership and enhance program services.

Areas of Responsibility: 

Responsibilities include the day-to-day business operations of the branch which will include:

  • Community Outreach: Develop a presence in the community to encourage and establish community partnerships. Develop community relationships to encourage interest in memberships, programs and services.
  • Marketing: execute a plan for effective branding compliance, marketing including social media and web development to increase communications with our membership and community.
  • Relationship Building: The human relations of this position are so important as relationship building is vital to the success of our organization. Examples would be to troubleshoot and resolve member issues in a professional manner. Establish relationships with potential and existing members and program participants.
  • Resource Development: Assist the organization with special event planning and programming and specifically support the YMCA Annual Support Campaign.

The incumbent is a team player who demonstrates strong skills in strategic planning for operations, program development, staff and volunteer supervision and development, fiscal management, financial development, special events, community relations, and collaborations with community agencies.

The essential functions of this position include, but are not limited to the following:

Program Development, Promotion and Member Retention

  • Create, develop implement and manage operating plans to promote new and existing programs and/or membership growth for the YMCA.  Executes member engagement strategies to ensure that members and/or program participants connect with one another and connect with the YMCA.
  • Develop implement, manage and promote high quality mission driven programs that are responsive to community needs, reinforce positive values in a caring atmosphere, and provides a safe and wholesome environment that stimulates youth development, healthy living and social responsibility.
  • Assure adherence and compliance with child care state and local regulations that are required by New York State Office of Children and Family Services, Department of Social Services and New York State Health Department.
  • Ensure high quality programs through innovative program development, evaluations and ongoing training of staff.
  • Establishes with the branch leadership team long-range plans for the expansion of programs and services, in harmony with overall Y objectives.  
  • Oversee the implementation of the branch-marketing plan, insuring membership goals are reached including retention and satisfaction indicators. 
  • Well versed in the YMCA’s philosophy, policies, and procedures.  Work with other staff members to promote and enhance program philosophy and goals.
  • Monitor and analyze the branch evaluation systems, making recommendations as needed.
  • Respect and maintain the need for confidentiality in all matters relating to children, families, staff, and YMCA business.
  • Assess the inclusion of the Y’s mission, values and safety guidelines in all program areas. 

Staff Development and Supervision

  • Develop and implement a comprehensive staff development plan in the areas of responsibility.
  • Recruits, hires, trains, supervises, disciplines, develops, schedules and directs staff and volunteers in assigned areas, creating and fostering a staff environment that is positive, professional and member focused, ensuring excellence in member satisfaction at all times.
  • Perform all supervisory and administrative duties in assigned area; ensures preparation and submission of all required reports and payroll are processed accurately and submitted on time.
  • Review and evaluate staff performance, develops strategies to motivate staff to develop competencies that support and achieve the Organization and department goals. Ensures duties, responsibilities and accountabilities of all direct reports are defined and understood.  Effectively communicates to staff the standards for performance.
  • Ensure high quality programs through innovative program development, evaluations, ongoing training of Staff and ensure all staff maintains their required certifications.  Ensures staff complete all required trainings.

Financial Development

  • Provide leadership to the YMCA Annual Campaign.  Support the Executive Director with branch fundraising initiatives to include staff, board, member and community efforts.

Fiscal Management

  • Develop, implement, manage and be accountable for assigned department budgets. Achieve income and control expenses according to budget to insure high quality programs and standards in all department. Prepare monthly reports and analysis as required by the Executive Director.

Collaborative Relationships

  • Represent and promote the YMCA in the local community and develops positive working relationships with other organizations, businesses, and governmental entities.  Develops and maintains collaborative relationships with community agencies in service deliver areas.

Volunteer Development

  • Responsibilities include assisting in the recruitment and development of program volunteers.  Supports the Executive Director with volunteer activities (policy and program) at the branch.

Association Duties

  • The Associate Executive Director serves as a vital and contributing member of the Y management team and supports the overall objectives of the Y.  Proactively monitor branch risk management activities, insuring safe, clean facilities in good repair.  Assures own professional development.  Exemplifies core values of the YMCA caring, honesty, respect and responsibility in all aspect of his/her job performance and relationships with others.  Other duties as assigned by the Executive Director. 
Educational Background: 
The incumbent must have a four year degree from a credited college or university or have at least five years of management experience. 
Skills/Experience: 
  • YMCA organizational leader certification is a plus and or experience working with or in the not for profit sector.
  • Three to Five years of customer service experience desirable.

Qualifications:

  • Demonstrated ability to direct programs through supervision and produce positive results in assigned areas to include staff supervision and development, program development, fiscal management, planning, problem solving and financial development to include annual and special event fundraising. 
  • Proven ability to create new programs and grow program participation and revenue.
  • Ability to establish and maintain collaborations with community organizations.
  • Excellent communication (verbal and written) and interpersonal skills are critical to the success of this position.
  • Ability to make independent decisions, and determine the appropriate course of action.
  • Able to manage complex and difficult situations with a high level of professionalism.
  • Demonstrated leadership qualities, strong organizational and time management skills, project management and detail orientated.
  • Must be computer proficient using Microsoft Office software programs and previous experience with database software programs.
  • Must have cleared fingerprints and a State Clearance form from New York State.
  • Passionate commitment to the Y’s mission, member relations, and the Y’s core values.
  • Highly skilled in planning and implementation of administrative procedures and ability to enforce safe regulations.
  • Maintains confidentiality with regard to all confidential matters of the association. 
  • Ability to think both conceptually and from a task-oriented approach.
  • Ability to respond respectfully and accurately to questions and/or concerns from staff, volunteers, donors, business and community contacts.
  • Complies with all applicable compliance and safety regulations and directives. 
  • Ability to actively listen while engaging with staff and members. Prior Y experience and familiarity and training in the Listen First Program and Annual Support Work desirable. Proven track record of developing authentic relationships with others
  • Outstanding communication skills and analytical planning abilities are necessary.
  • Ability to relate effectively to diverse groups of people from all social and economic segments of our community.
Compensation/Benefits: 

Salary: $40,000.00 - $45,000.00
