The Operations Program Coordinator is responsible for a variety of day-to-day operations activities within Technology & Information Systems (TIS) as part of the TIS Departmental Operations team (TISDO).

Areas of Responsibility: 

The Operations Program Coordinator is responsible for a variety of TISDO operations activities. These activities include, but are not limited to, the following:

Scheduling/Logistics:

  • scheduling and coordinating logistics for special events and/or meetings and purchasing;

HR

  • assisting with the recruitment for, and the on- and off-boarding of, IT staff;
  • assisting with staff trainings and recognitions;
  •  overseeing and monitoring the IT resource project planning tool (“10K”), acting as the central POC (“Point of Contact”) for TIS staff, providing guidance as needed, monitoring adoption, and helping generate summary reports for planning and budgeting;

Contractual

  • on behalf of TIS, managing and acting as the central POC for the Contracts Management System, including helping TIS staff with training, providing general administrative support for the system, understanding and connecting related entities and contractual documents, and providing general document management for a central repository of TIS contracts;

Financial

  • providing administrative support to the Finance Administrator, including support for the processing of invoices and employee expense reports;

Communication

  • assisting IT departmental leads and working closely with the TIS Communications Associate for website content and maintenance of site/pages on TNC’s intranet, “CONNECT”.

The Operations Program Coordinator applies established processes and practices in order to improve effectiveness, documents program procedures for reference by staff, and seeks to both adopt and develop best practices to improve TIS operations. S/he will coordinate activities with multiple variables, setting realistic deadlines and managing the timeline. 

Educational Background: 
Bachelor’s degree and 2 years’ experience or equivalent combination.
Skills/Experience: 

MINIMUM QUALIFICATIONS

  • ·  Experience coordinating administrative processes
  • ·  Experience in generating reports and interpreting data.
  • ·  Experience in business writing, editing and proofreading
  • ·  Experience organizing time and managing diverse activities to meet deadlines
  •   Experience working accross teams and communciating with a wide range of people.

PREFERRED KNOWLEDGE & SKILLS

  •         Multi-lingual skills and multi-cultural or cross cultural experiences are appreciated
  •       Ability to analyze information for the purpose of coordinating and planning activities, and solving problems
  •      Ability to use existing technology to achieve desired results
  •      Ability to design and create a website to maintain a website
  •      Excellent customer service skills and focus
  •      Experience interpreting guidelines to achieve desired results
  •      Knowledge of current trends in specific field
  •      Strong organization skills, accuracy, and attention to
