Wounded Warrior Project’s (WWP) Mailroom, Shipping & Receiving, and Warehouse Coordinator is responsible for mailroom functions including preparing mail, mail sorting, distributing, and collecting outgoing mail/packages, and maintaining electronic logs and files pertaining to mail/package processing. The position will also process check printing and distribution. The Mailroom, Shipping & Receiving, and Warehouse Coordinator will also process internal customer requisitions, properly package and create shipment labels, and maintain stock by inventorying and disbursing supplies and equipment. The coordinator will also audit inventory as it is received and sent out of warehouse. The position will also assist in the overall everyday maintenance and general upkeep of Wounded Warrior Project’s facilities.
- Perform monthly, quarterly, and annual inventory cycle counts including research and reconciliation of inventory variances to maintain inventory accuracy and process all end of fiscal year-related transactions in Great Plains material management system
- Process material transactions in the Great Plains materials management software system to include, inventory receipts, transfers, sales, sales returns and inventory adjustments
- Retrieve mail from lock boxes and stations around the office, sort mail and packages, and distribute to proper recipient
- Perform daily receiving and inventory transactions including issuing, transfers and inventory adjustments
- Verify items received by confirmation; inspecting condition of items; comparing count/measure of items to purchase order and packing list and properly place items in designated areas
- Manage inventory stocking levels and inventory control issues including setting inventory items’ high and low limits, safety levels and reorder points
- Ensure product is kept neat and in a usable fashion per warehouse policies
- Inspect returned mail items and handle as appropriate
- Maintain adequate postage and purchase/refill postage as needed and perform basic maintenance of postal machines and schedule routine maintenance and repairs
- Maintain and manage mailroom and warehouse shipping supplies
- Perform daily picking, packing and shipping/delivery of products to internal and external customers by use of external carriers (UPS, USPS etc.)
- Maintain logs for incoming mail from vendors, mail delivery to customers, and all packages
- Handle all special request mail responsibilities, such as UPS, Federal Express, and courier service
- Provide solutions to problems associated with special requirements such as bulk mail and other special types of mailings
- Operate e-Fax system and process incoming and outgoing faxes for programs and departments
- Perform check printing and check distribution
- Crosstrain with purchasing and inventory personnel on purchase order, receiving and delivery procedures
- Provide outstanding customer service
- Other related duties as assigned
- Knowledge of current US postal codes, procedures, and regulations

- Ability to perform duties with high degree of accuracy
- Ability to operate and maintain a variety of office equipment (copy machines, fax, computers, postage meters)

- Ability to safely operate 14 ft. box truck and passenger van on a regular basis
- Frequent use of 8 foot ladder to store and retrieve product
