Consistent with the Christian mission and vision of the YMCA of Middle TN and in cooperation with IT, Marketing and other YMCA departments, and under the supervision of the Director of Sponsored Programs, the Program Data Manager and Coordinator will work closely with program staff to build and manage an outcomes and grant records database, to develop data collection and management plans with programs, to train staff on outcomes management systems, and provide ongoing technical support to program staff to meet the full range of activities associated with demonstrating the effectiveness of programs to YMCA leadership, donors and funders.

Areas of Responsibility:

  • Serves as an advocate/ambassador for the cause of the YMCA: Strengthening our Community through Youth Development, Healthy Living, and Social Responsibility.
  • Ensures that all systems and processes used for data collection are consistent with the YMCA’s data security policies
  • Works with cross-functional teams (primarily program staff teams and the Division of Sponsored Programs) to develop and manage the YMCA’s outcomes and grant management software, Apricot (Social Solutions)
  • Provides internal and external data for programs, grant and sponsorship applications and reports, and philanthropic reports to organizational leadership, funders and donors
  • Ensures that suggested evaluation strategies and outcomes are consistent with the YMCA’s strategic plan and priorities
  • Builds and implements dashboards and systems for the YMCA’s outreach programs in the new outcomes management system
  • Migrates data as needed from archived/YMCA data sources like Sharepoint, Sharefile, and Excel and manages data archive

The Program Data Manager and Coordinator will serve three primary functions:

Project/Program Data Management

  • Works closely with program staff/leadership to develop standard operating procedures for data collection (eg, data management plans) and develop forms/tracking system using Apricot (Social Solutions) to meet all relevant functions of programs; improves processes where needed
  • Ensures staff have the knowledge and skills needed to leverage the full functionality of the outcomes management system; conducts training when needed
  • Monitors and mines program data as needed throughout program/grant lifecycles ensuring that all data is collected and analyzed consistent with both program and grant deadlines
  • Provides technical assistance/support and training to program staff as needed (both virtually and at program sites)
  • Communicates regularly with members of Sponsored Programs to coordinate work plans and manage grant proposal and reporting deadlines

Database Development and Management

  • Serves as an Administrator of the Apricot (outcomes tracking) software
  • Works closely with the Y’s Apricot contact as needed for problem solving and/or system development
  • Builds and tests forms and builds/manages reports for each program
  • Provides integration support with other technologies, softwares and systems where appropriate

Grants Database Development and Management

  • Works with the Division of Sponsored Programs to manage grant records and deadlines using Apricot
  • Develops and manages reports to share with organizational leadership
  • Completes other duties as assigned

Strong interpersonal and communication skills and the ability to work effectively with diverse groups of people at all levels of the organization

  • Must have excellent communication skills
  • Must present a professional image and possess a high level of interpersonal skills
  • Must be highly organized with the ability to work under pressure, in dynamic environments and handle multiple tasks
  • Must be able to maintain confidentiality of information
  • Proficiency in Microsoft Word, Excel, PowerPoint, etc, as well as the ability to learn new software systems quickly
  • Minimum 21 years of age
  • Bachelor’s degree in relevant subject area, graduate degree preferred. A minimum three year’s work experience and/or training
  • Experience with Apricot (Social Solutions) or outcomes management systems preferred
Compensation/Benefits: 

Salary: $43,374.00 - $54,217.00
