The Program Coordinator [Coordinator] is a staff member of the Stewardship & Field Programs Dept (SAF) in The Nature Conservancy’s Florida Chapter (TNC). The Dept is responsible for developing, implementing, and managing field conservation work (e.g., wildland fire management, invasive species control, coral restoration) across Florida and stewardship of the Florida Chapter’s network of preserves. The Dept. has three regional field programs as well as management and development responsibilities for the newly formed Conservation Center for Innovation [Center]. The Center represents the management, conservation activities, and strategies conducted at the Chapter’s preserves such as stewardship, education, outreach, and science. The Chapter’s four Flagship preserves serve as the Center’s preserve campuses [Disney Wilderness Preserve, Tiger Creek Preserve, Blowing Rocks Preserve, and Apalachicola Bluffs and Ravines Preserve]. The SAF Program Coordinator coordinates project activities and information management across the Dept and is responsible for helping organize planning activities and reporting for the Center.
The Coordinator is responsible for coordinating efforts across the SAF as it relates to Dept activities, information mgt, and project development. This position works with the SAF Director, staff, and other Chapter Depts to ensure good coordination, planning, standards, budgeting, and reporting for projects such as the Center and its campus preserves. This position is expected to travel to Preserve campuses, other Chapter offices, contractor meetings, and partner sites as needed. They work with staff, vendors, and contractors to help support strategic development planning of projects. The position manages the SAF’s centralized information resources [preserve guides, databases, SOPs, documents, etc] and ensures they are accessible and updated in coordination with other SAF staff. This position works with staff to ensure monthly activity reports are submitted and develops an internal newsletter from the report’s content. They help with information requests and coordination between other Depts within the Florida Chapter. They coordinate Dept budget development. The Program Coordinator is supervised by the Director of Stewardship & Field Programs.
RESPONSIBILITIES AND SCOPE
Project Management (45%) – Provides planning and coordination support to projects and their activities
- Provides support to Center’s development and management in coordination with SAF Director
- Coordinates preserve campus development outcomes with contractors & SAF staff
- Coordinates documentation and standardization efforts for Center.
- Manages the Center’s web content, social media, and newsletter in coordination with preserve campuses and Marketing and Communication Dept.
- Prepares reporting efforts for the Center
- Schedule and organize meetings/events and maintains agendas
- Coordinates with SAF staff, contractors, and partners to ensure project outcomes, scheduling, and meetings achieve goals.
- Coordinates staff requests for Director document review, signatures, Dept staff hiring, etc
- May represent the Director in planning meetings and events as needed.
- Travels as needed to preserves, Chapter offices, partner sites, contractor meetings, etc
- Builds positive relations within the Dept and external parties
- Works with SAF focal teams which support core Dept work (ex. Operations, wildland fire management, invasive species, outreach, education, science) and tracks team outcomes.
Information Management (40%) - Oversees the management and development of SAF information resources
- Maintains information gathering and reporting for SAF (monthly reports, newsletter, annual report, historical docs, and other information documentation)
- Maintains master calendar of activities (outreach, education, events, etc) at preserve campuses
- Ensures databases on conservation activities for the SAF are created, maintained and updated.
- Maintains licensing & qualification databases for SAF staff/facilities, equipment (e.g., fire quals, herbicide use records, etc).
- Serve as SAF point of contact for other Chapter Dept's.
- Provides writing, editing and review of documents and presentations
- Develops PowerPoint presentations
- Under minimal supervision, makes independent decisions based on analysis, experience and context.
Dept Operations (15%) – Coordinates budget process for SAF and assists Operations Dept as needed.
- Coordinates SAF budget review process and submission for Chapter review
- Coordinates policy and procedures across the SAF to ensure consistency, compliance, and good communication
- Works with SAF operations staff to ensure admin support to Director as needed (travel, scheduling, budget).
- Financial responsibility may include working within/managing a budget to complete projects, negotiating and contracting with vendors, and assisting with budget development.
- Coordinates with the Director of Operations/staff as needed on operation/budget projects
- May be needed to work on time sensitive projects and travel on off hours
- Other duties as assigned by supervisor.
MINIMUM QUALIFICATIONS
- Experience generating reports, and analyzing and interpreting data;
- Experience working across departments;
- Experience with database management; and
- Experience, coursework, or other training in principles and practices of relevant field.
