Position Summary:

Title:                   Operations & HR Coordinator

Supervisor:        VP of Operations

Location:            Marshall, VA - hybrid

Salary:                $70,000; Based on experience

 

Introduction:

 

This is a full-time position with American Bird Conservancy (ABC).  The mission of American Bird Conservancy (ABC) is to conserve birds and their habitats – the places birds need to thrive – across the Americas. We are a growing group of 125+ dedicated staff, located across the United States and with a network of partners from Canada to Chile.  For nearly 30 years, we have collaboratively delivered an expanding array of results aimed at preventing bird species extinctions, addressing threats to birds, and reversing declines that are reducing populations of nearly all bird groups. Our work is guided by both science and our principles, which include a commitment to Justice, Equity, Diversity, and Inclusion.

Areas of Responsibility: 

 

Primary Duties:

  1. Assist in event planning for Board meetings, bi-annual staff retreat, and other events.
  2. Act as primary Admin for ABC’s time reporting system, Replicon.
    1. Provide Replicon training for new staff and support existing staff queries.
  3. Partner with Finance to identify and implement new time reporting system.
  4. Partner with HR and staff to identify, develop, and implement organization-wide training and career development opportunities.
    1. Manage on-line training courses in Paylocity.
    2. Administer and manage license use for LinkedIN Learning.
    3. Lead and assist with documenting and recording training for various technology systems/platforms.
    4. Work with HR Coordinator to arrange staff-wide trainings.
    5. Work with VP of Operations to coordinate professional development opportunities for staff.
    6. Other training-oriented duties as assigned.
  5. Assist in maintaining and updating the Employee Handbook.
  6. Provide back up to ABC’s Office Manager in Marshall, Virginia when she is out of the office.
    1. Check ABC email and forward to appropriate staff.
    2. Answer phone calls.
    3. Pick up mail at local postal office – sort, open, and distribute email.
    4. Greet visitors.
  7. Administrative support for VP of Operations to include calendar management and priority management of tasks.
  8. Other duties as assigned.
Skills/Experience: 

Position Requirements:

 

  1. Bachelor’s degree in Business Administration, or related field or equivalent work experience.
  2. Proven ability to remain objective, discrete and exercise common sense at all times.
  3. Able to develop strong, trusting relationships with all staff and management.
  4. Thrives in a dynamic environment with a positive attitude and able to work on various projects simultaneously, requiring strong organizational and time management skills.
  5. Proficient in Microsoft Office Suite and comfortable using and learning new technology. Experience with Paylocity and Replicon is a plus, but not mandatory.
  6. Excellent verbal and written communication skills.
  7. Strong analytical and problem-solving skills.
  8. Authorized to work in the US; US Citizen or Permanent Resident.
  9. All remote and hybrid employees are required to have a stable and high-speed internet service provider in place prior to beginning work for ABC. Our distributed work force relies heavily on cloud technologies, Zoom, and other automations to successfully complete our day to day work. The ideal speeds are 30-40 Mbps for downloads and 10-15 Mbps for uploads.
    1. You may be required to use your personal cell phone to access ABC systems remotely.
  10. Background screening required.
