Executive Coordinator 

The Alliance for Youth Action (along with our sister 501c3 organization the Alliance for Youth Organizing) is searching for an Executive Coordinator.  Reporting directly to the Executive Director, the Executive Coordinator provides executive support in a one-on-one working relationship. The Executive Coordinator must be creative and enjoy working within a small, diverse, environment that is mission-driven, results-driven and community oriented.

The Alliance convenes, supports, and scales a national network of youth-led, locally rooted organizations growing civic engagement and social justice coast to coast. We truly are a multiracial network “of young people, by young people, for all people.” Our Affiliates and Partners run massive voter registration and get-out-the-vote drives, train new young leaders, and run powerful campaigns to win on the progressive issues our generation cares about most. Our national team empowers this work by tracking down national resources for the network, building capacity for local groups, seeding new efforts, and coordinating national issue campaigns. 

 

Job Responsibilities
The Executive Coordinator will work independently on projects from conception to completion and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with independent judgment and discretion.

Areas of Responsibility: 

Executive Support, Communications, and Stakeholder Engagement

  • Executes all administrative functions; including but not limited to invoice review and expense reimbursements, provide real-time calendar scheduling, draft emails and other correspondence, create meeting agendas and presentations (as needed), take meeting minutes, ensure the Executive Director is prepared for meetings and provide follow up support for the Executive Director.

  • Ensure the Executive Director’s time goes to top priority work, including maintaining and updating Executive Director’s to-do list, calendar system, and project management software; Ensure Executive Director is prepared for all their engagements and coordinate internal workflow and task management 

  • Manage the Executive Director’s travel schedule (i.e. booking travel, calendar adjustment, and keeping track of their travel expenditures)

  • ​​Ensures the Executive Director’s bio is current  and responds to requests for materials regarding the organization and the Executive Director

  • Assist in organizing board meetings and retreats including catering, preparation of agendas, and the distribution of presentations and materials ahead of the meeting

  • Assist with special projects and other duties as assigned; including leading on designing and producing documents, reports, and presentations

  • Manages and prioritizes Executive Directors time by reading, researching and routing communication, correspondence, and documents. Provides background summary information in preparation of upcoming meetings with external stakeholders.

  • Coordinates with Executive Director’s direct reports to complete additional projects as directed by the Executive Director’s office; follows up on results.

  • Assists all members of the executive team with scheduling

  • Working closely with the Executive Director and Communications Team,  to build Executive Director presence on social media channels, including staying up-to-date on and implementing best practices, monitoring and briefing Executive Director on news and social media related to organizational and network work, and drafting posts in Executive Director voice to elevate organizational and network work.

Skills/Experience: 

 

  • Project management skills – Ability to manage multiple projects, plan backwards, anticipate obstacles, troubleshoot, and make smart judgment calls as needed. 

  • Racial Equity analysis – Experience organizing colleagues, organizations, and/or movements prioritizing a racial justice and/or equity lens.

  • Strong interpersonal skills – Track record of developing and maintaining trusting relationships with a diverse range of stakeholders, an ability to meet people where they are, find common ground, and inspire collective action. Patience and the ability to work well with people who have various skill/experience levels.

  • Excellent writing, verbal, analytical, research, interpersonal and problem-solving skills

  • Good eye for design of materials and familiarity with design software

  • Ability to anticipate and articulate next steps and demonstrate good judgment in setting priorities

  • Ability to work well under pressure, handle multiple assignments, prioritize and meet deadlines

  • High level of computer literacy, including of MS Office Suite, GSuite, Project management software tools, and scheduling tools

  • Resourcefulness and resilience; ability to find multiple paths to getting a job done.

  • Confidentiality and professional discretion

Compensation/Benefits: 
  • Compensation: $55,000 - $65,000, non-exempt

  • Location: All positions are remote until at least August, 1, 2022 due to COVID-19. Remote work out of state is an option until employees are expected to return to the office. The decision about returning to the office will be made before June 2022. Normally, this is a full time position based out of the Alliance’s Washington, DC office.  Moving stipend is offered to employees expected to move to Washington, DC for this position. 

  • Travel:  Under non pandemic circumstances, domestic travel for this role may be up to 15% of this position. Must be willing to work periodically long, irregular hours and to travel as needed.
