Senior Coordinator, World Food Programme Award Management Team

The Sr. Coordinator provides strategic analysis and recommendations within the Department of Humanitarian Response’s (DHR) unit to support and facilitate the financial and award management work of the World Food Programme (WFP) team from pre-award through closeout.  The Senior Coordinator will work independently and with award managers to ensure complete and accurate documentation and processing of all awards and workflows in the portfolios.  The Senior Coordinator will assume responsibility for miscellaneous award management requests as necessary.  This position holder directly reports to the Associate Director, WFP in DHR.

Areas of Responsibility: 

Award and Financial Management Support: 85%

Award Processing

  • Ensure Save the Children’s Award Management System (AMS) and Financial Management/Accounting System (Agresso) processes for awards are adhered to and help to ensure and maintain data integrity
  • Ensure AMS postings and workflows are completed in a timely manner in support of efficient processing of awards

Budget Management and Financial Analysis

  • Actively and regularly use independent judgement in assessing and communicating budget results to the account team and escalating as necessary
  • Ensures each award budget is audited and reconciled on a regular basis
  • Prepare and, as necessary, revise Agresso Budget Templates and follow up to ensure award budgets (Fund Summaries) are activated expeditiously
  • Work with DHR Award Managers to monitor rate of spending in Country Offices (COs) and SCUS home office through review of General Ledgers, donor financial reports, and other Agresso-generated reports

Donor Compliance

  • As requested, monitor award implementation and reporting to ensure compliance with donor requirements
  • Provide needed compliance information to COs, including maintaining updated compliance documents on Save the Children International’s internal website

Partnerships

  • Facilitate the development of sub-award agreements to SC Member countries or partners as requested, including processing of wire transfers and ad hoc support and closeout

Donor Reporting

  • Review, revise and edit at their at their discretion donor reports (both narrative and financial) generated by CO and circulate for additional input as necessary ensuring that reports are finalized and ready for submission to donors.
  • Update AMS reporting schedule with report submissions

Project Close-out

  • Ensures completion of the SCI and SCUS Closeout Checklists and help ensure that awards in AMS and Agresso are closed/deactivated as required.

Other

  • Support the department/agency to maintain knowledge management systems
  • Serve as the primary point of contact for specific awards as requested
  • Monitor Key Performance Indicators (KPIs) for WFP account
  • Represent DHR as requested in Award Management Process meetings

Fundraising: 10%

  • Recommend and assist with the development and review of concept notes and proposals as requested
  • Collaborate with the department/agency to maintain knowledge management systems around resource development (ensuring documents are posted on AMS as applicable, maintaining proposal libraries, documenting lessons learned, etc.)

Continuous Improvement: 5%

  • Support departmental leadership to improve award management systems, policies, procedures, and knowledge management
  • Participate in developing best practices, sharing resources, and ongoing trainings
  • Support CO capacity building with training on SCUS donor requirements

Requires a professional level of specialized knowledge, technical/functional award management, financial monitoring and interpersonal skills and attention to detail to manage complex tasks, programs or projects.

Educational Background: 
High School Diploma
Skills/Experience: 
  • Minimum 3-4 years’ office experience, preferably involving office administration
  • Excellent computer skills (Word, Excel, PowerPoint, databases). Preferred Excel and PowerPoint power user
  • Experience in financial and budget analysis
  • Demonstrated organizational skills and attention to detail
  • Ability to handle multiple tasks and ensure timely completion of short- and long-term projects
  • Ability to adapt to changing environment and workload
  • Ability to work under pressure and prioritize accordingly

Preferred:

  • BA/BS; Preferred areas of study, Humanitarian Affairs, International Relations, Business
  • Proficiency in French
  • Relevant field level experience
  • Knowledge of WFP
  • Knowledge of food assistance
  • Experience in communications and information technology systems
  • Demonstrated experience working across the full cycle of grant/award management from proposal and budget development through reporting and closeout
  • Operation experience, such as working with financial systems and/or logistics
