The Center for Democracy & Technology is seeking a highly motivated and enthusiastic individual to join our team as the Office and Administrative Assistant. This position serves as the first point of contact for many of our stakeholders and helps ensure that CDT is a highly functioning, positive place to work. An ideal candidate with have enthusiasm and energy for office administration and a proven track record of basic bookkeeping skills. This position is located in CDT’s Washington, DC office.

This position will work closely with CDT’s Comptroller to help ensure the administrative functions at the office operates smoothly and efficiently.

Areas of Responsibility: 
  • Serve as the office receptionist, including greeting visitors, maintaining an accurate guest list for building security; and answering the phone;
  • Support core accounting functions, including preparing bills & invoices, receiving and processing payments & donations, assisting with annual audit, processing credit card expenses & collecting receipts, and managing expense reimbursement process;
  • Collect and record timesheets and monthly outreach reports;
  • File and retrieve organizational documents, records, and reports;
  • Assist with administrative HR functions as needed, including onboarding;
  • Maintain accounts and relations with supply vendors and property management staff;
  • Ensure office administrations are running smoothly, including managing office supplies, maintaining optimal office conditions, arranging for upkeep of office equipment, and managing calendars governing organization meeting space;
  • Open, sort, and distribute incoming mail and facsimiles;
  • Prepare agendas for weekly staff meetings; and
  • Other duties as assigned.

 

Educational Background: 
Bachelors Degree or higher
Skills/Experience: 

The Office Assistant and Bookkeeper is a critical support staff position necessary to keep the organization running smoothly. An ideal candidate will have experience in an office setting, including bookkeeping or related experience. The candidate must be comfortable interacting with professionals of all level and respect confidentiality.

The ideal candidate will have the following attributes:

  • Bookkeeping experience or successful completion of accounting coursework;
  • Experience running front desk operations or serving in an externally-facing capacity;
  • Proficiency with standard web-based collaborative office software, as well as systems such as Excel, Quickbooks and G Suite;
  • Exceptional attention to detail;
  • Excellent schedule management skills;
  • Strong verbal and written communication ability;
  • Comfort operating standard office equipment;
  • Exceptional interpersonal skills; and
  • Self-motivation.

 

Compensation/Benefits: 

Salary is commensurate with experience and is competitive with public interest and government pay scales. CDT also offers excellent benefits, including health care and dental coverage, a retirement plan, and generous vacation and parental leave.
