350.org’s Organisational Development (OD) team is looking for an enthusiastic and diligent  administrative assistant! The ideal candidate will be someone who loves helping people and teams stay organised, who is flexible and gets excited to help a team figure out complex logistical arrangements while working remotely with colleagues. This role is expected to collaborate with other organisational administrative staff and will occasionally take on organisational-wide projects in addition to the position’s team-specific work.

Areas of Responsibility: 

The OD Administrative Assistant will support core activities of the OD team, assist with major projects and initiatives, manage scheduling and assist with budget management. The Administrative Assistant will provide logistical support for meetings and travel, and will act as a liaison with staff, consultants and partners.

This role offers a unique window into the inner workings of the organisation and the climate movement. It will be ideal for a highly organised, detail-oriented individual who has a strong interest in progressive social change and the way oanisations work. The right candidate will be kind and approachable, and ready to take on challenges. They will be committed to their own well-being and the well-being of others, an excellent communicator, and able to function in a remote team that rarely meets in-person. They’ll have the ability to exercise discretion, maintain calm under pressure, and have strong prioritisation and time-management instincts.

Responsibilities

  • Supports the OD team to stay on track and meet its goals and commitments.
  • Communicates with 350 staff, associated consultants and others on behalf of the OD team to share updates, schedule meetings and relay other correspondence as necessary in a timely manner.
  • Creates systems that eliminate redundancy and streamline information, and redirects erroneous email and work.
  • Absorbs information, making connections that would otherwise go unseen.
  • Takes notes of meetings, record decisions made and track actions agreed to.
  • Understands projects, and is able to develop and maintain project reports including progress reports and other related reports.
  • Creates and maintains a project calendar indicating objectives, milestones, progress, interdependencies and status of OD projects.
  • Provides administrative support during hiring processes and logistical support for the OD team in their organising of in-person meetings involving venue identification and hire, travel and accommodation arrangements.
  • Acts as the point person for any administrative tasks and issues, and composes monthly reports on the team’s work to update staff.
  • Sets up and maintains a repository of OD's information resources,  including project documentation, articles, policies and practices, etc.
  • Assists with any ad hoc project and emerging team-wide or organisational-wide administrative needs that may develop.
  • Perform other tasks assigned by the OD Director.
Skills/Experience: 
  • Past experience with administrative work with a focus on organisational-related tasks, ideally in an international context.
  • Event organising skills, including stakeholder engagement, event management and communications, travel and accommodation bookings, including supporting visa arrangements (preferably internationally).
  • Ability to communicate complex ideas in clear, concise terms (written and verbally).
  • Strong interpersonal skills.

Proficient with virtual meeting technology, google drive and other online comms technologies.

  • A commitment to your own personal growth and development.
  • Strong English skills.
  • Confidence in using internet-based software for calendaring/scheduling.
  • Has the basic financial numeracy to do budget tracking, accurate invoicing and other financial administration tasks.

Desired (but not required) skills and experiences

  • High level proficiency in Google Suites and Zoom Video Conferencing preferred.
  • Has an interest in social & environmental justice issues, and/or experience working in international contexts across a variety of cultures

  • Brasil:   69,400BRL -   86,800BRL
