The Intranet Coordinator will support the project to implement a new intranet platform across LLS and is responsible for day-to-day operation and management of the intranet. This person is responsible for maintaining the site content, navigation and visual designs. They are also responsible for coordinating with key stakeholders, engaging and supporting users, and providing oversight of the technology.

Areas of Responsibility: 

Content: The actual words and files on the intranet

  • Monitor user-generated content (comments/feedback) to ensure appropriateness.
  • Support efforts to create and maintain a sound site navigation
  • Provide guidance to content site managers on editorial content (e.g., what they should/shouldn’t post, creative direction, routing to resources/guides)
  • Support Communications department with the management of the homepage to maintain a proper balance of content and tools; use a “push and pull” strategy by working directly with business units and monitoring for user-submitted content
  • Monitor sites/pages to ensure it is maintained and updated on a regular basis
  • Evaluate analytics and user feedback and work with content site managers to ensure they adapt their communications accordingly
  • Develop, edit and proofread content as needed

Technology: The underlying hardware and software

  • Serve as first line of support for platform working with IT and software vendors on technical questions and upgrades
  • Learn and become an expert on the basic technology of the platform
  • Manage common administrative tasks in the intranet software, or liaise with IT staff around those tasks

Engagement: Interaction with users and stakeholders

  • Work closely with key stakeholders to understand their needs and involve them in planning
  • Support strategy to ensure all employees and targeted groups, including Executive Directors, are getting the content the way they want and need it (e.g., newsletters, tailored dashboards)
  • Think creatively about employee engagement and recognition through the intranet platform (e.g., informal content to spark buzz, latest successes, new hires, birthdays)
  • Provide support as needed to users of all different levels
Skills/Experience: 
  • Two to five years of experience managing and implementing intranets or collaboration software
  • Highly organized, with the ability to successfully multi-task
  • Excellent written and verbal communication skills
  • Excellent interpersonal skills
  • Strong leadership skills to coordinate and facilitate activities with colleagues
  • Ability to handle sensitive and confidential situations with diplomacy
  • High level of comfort with social software and other web-based technologies
  • Self-motivated and open to learning
