Position Summary

The Accounting and Payroll Specialist (APS) is responsible for managing account payable and receivable transactions, expenses, vendors and independent contractors, properly tracking them and maintaining accurate bookkeeping records. The APS is responsible for maintaining payroll systems and accurately processing payroll according to the established payroll schedule and in accordance with applicable payroll laws and best practices. The APS responsibilities include reviewing timesheets and entering data into payroll databases, calculating paycheck amounts and processing the payroll transaction, bookkeeping in various finance and accounting systems, updating information as needed, and collaborating with shared services and program teams throughout the Black Cultural Zone Community Development Corporation.

Areas of Responsibility: 

Key Duties and Responsibilities

Accounts Payable

  • Process payments for vendors, consultants, and contractors

  • Process Payments for utilities, cell phone and subscriptions

  • As needed, monthly, quarterly, and annually

  • Create bills for approval on bill.com

  • Process payments via bill.com or vendors website

  • Provide training to vendors/consultants on bill.com

  • Process 1099s at the end of the year

  • Create and maintain spreadsheet for monthly grant reporting for various programs

  • Calculate monthly stipends for program participants

  • Provide training to internal and external Bill.com users

  • Submit invoices to funders for reimbursement

  • Process stipend payments via bill.com

Accounts Receivable

  • Create invoices on bill.com or QuickBooks

  • Code to the appropriate team or project

  • Match payments to the correct invoice once received

  • Create accounts receivable folder

Payroll

  • Process employee payroll biweekly via Paycom

  • Review payroll for discrepancies before processing

  • Answer payroll question

  • Update Paycom as needed

  • Communicate with Paycom specialist as needed

  • Process any garnishment or levy notices

  • Stewards on bill.com

  • Create bill on bill.com for each messenger/community steward

  • Review and distribute W2s

Contracts

  • Create contracts for Vendors and Contractors

  • Submit contracts for signature via DocuSign

  • File contracts in the appropriate folder

Expense Management/DIVVY

  • Review transactions for accuracy

  • Sync completed transactions to Quick Books

  • Assign cards

  • Cancel cards as needed

  • Assign spending limits

Quickbooks

  • Run reports as needed and code transactions to the appropriate class/project/account

General Accounting Duties

  • Assist the accountant with yearly financial audit

  • Assist accountant monthly close

  • Reconcile and submit financial reports

  • Attend required meetings and trainings

  • Send required financial documentation to funder in collaboration with Partnership Manager

  • Other duties as assigned

Skills/Experience: 

Qualifications

  • A minimum of 2 years of human resources management and HRIS experience

  • High school diploma

  • Must have demonstrated knowledge of federal and multi-state law relating to payroll

  • Understanding of FLSA, multi-state (heavy California) wage and hour laws across all states

  • Excellent computer skills and current knowledge of G-Suite applications and Excel required

  • Paycom software experience preferred Experience with payroll processing and accounting software a plus

  • Must be highly organized with exceptional attention to detail and accuracy

  • Excellent customer service and interpersonal skills

  • Independent and innovative self-starter who can display an ability to learn rapidly and adapt quickly changing situations

  • Ability to maintain confidentiality of sensitive information

  • Ability to work under pressure to meet deadlines

  • Ability to handle multiple tasks simultaneously and work in a fast-paced environment

  • Exceptional ability to work collaboratively and to provide excellent customer service to internal staff and external partners

  • Ability to communicate clearly, concisely, and professionally both orally and in writing
