350.org is looking for an organised team player with proven administration skills, to play a key role in supporting our work in Europe from a finance, HR, coordination and logistics perspectives.

350.org’s Europe Team has grown in size, and its work in complexity, over the past few years. Our dynamic group of staff members, based in several different countries in the region, needs help and support to be able to deliver effectively our shared strategies and plans.

The Europe Administrative Associate is someone who can manage multiple priorities effectively, has a friendly, positive attitude, is a creative problem solver who loves to help people stay organised, and is able to look at the bigger picture of our administrative work in a thoughtful way.

This person will play a key role in ensuring that our team operations run smoothly, and staff feel supported in what they do. With the diversity of contexts, challenges, and responsibilities present in this role, a stimulating experience is guaranteed!

Areas of Responsibility: 

The main responsibilities of this role are:

  • team coordination: calls management (including: circulating agendas, note-taking, setting up virtual meeting rooms, summarising and outlining action points), calendar management, documentation, access to and trainings on communication and collaboration platforms – all of it enabling everyone’s ideas and work to best come out and move forward
  • hiring: supporting recruitment of short-term and long-term staff, oversight of contractors, onboarding and training logistics
  • finance: supporting reporting and reconciliation of team expenses, and purchasing of products and services
  • logistics: planning team in-person meetings and other logistical support as required (including venue identification and hire, travel and accommodation arrangements, budget tracking)
  • project coordination: working closely with project managers to record goals, success indicators, tasks, timelines
  • active participation in the organisational Admin Team
  • other support tasks as defined by the Regional and Managing Directors
Skills/Experience: 
  • experience in administrative responsibilities
  • an attitude of problem-solving, bringing order to chaos, attention to detail, and caring support of other team members
  • strong organisation skills, with the ability to create and implement systems that make work more effective
  • ability to stay motivated and adapt to changing circumstances and to work contexts with lots of priorities, information, and people
  • a commitment to diversity, equity and inclusion in work practices
  • speaking and writing in English (working-level)

Desired (but not required) qualifications

  • experience in administrative responsibilities related to HR, finance, logistics, or operations (any or all of those)
  • proficiency in remote work and use of online communication and collaboration tools
  • passion for tackling climate change and social justice issues
  • specific knowledge of the platforms and tools 350.org uses in its work (e.g. Slack, Expensify, Zoom, Google suite, Airtable)
  • speaking and writing in languages other than English

We are looking for someone who is comfortable working both independently and in teams, highly responsive, and able to lead initiatives as well as take direction from others.

Compensation/Benefits: 

Compensation: Competitive. Depending on location (e.g. Italy 41,850 EUR, Poland 134,850 PLN, Sweden 348,750 SEK).
