The American Heart Association (AHA) has an excellent opportunity for an Administrative Associate (part-time 25 hours/week) in our Great Rivers Affiliate office located in Columbus Ohio. This position will serve as a project manager to provide administrative support to AHA ’ s signature Heart Ball fundraising event and additional cultivation and fundraising events.

Areas of Responsibility: 
  • Supporting Columbus’s signature Heart Ball (gala) and other special events
  • Supporting Executive Leadership Team meetings
  • Coordinating meetings and calendars
  • Data entry of participants, sponsorships and donations and generating reports
  • Written correspondence including memos, presentations, newsletters, meeting minutes, meeting agendas, etc
  • Event volunteer coordination, communication, and training
  • Coordinating event logistics
  • Organizing night-of-event auction programming (live, silent, super silent)
  • Preparing daily bank deposits and handling account receivables
  • Accounting for event income on a weekly basis
  • Accounts payable and expense reporting
Educational Background: 
Must have earned a high school diploma or GED.
Skills/Experience: 
  • Must have at least one year experience in a related role.
  • Strong customer service focus.
  • Strong computer skills specifically proficiency with Microsoft Word, Excel, Power Point, Publisher and database tools.
  • Previous experience with sales and/or fundraising databases and accounts payable/receivable programs desired.
  • Experience with social media, specifically Facebook and Twitter.
  • Proven track record of completing administrative related tasks such as reviewing, responding to and typing letters, reviewing documents, manuals and other office correspondence.
  • Self-starter and ability to work independently.
  • Ability to schedule and prepare for
  • Strong organizational skills and detail-oriented with ability to multi-task and thrive in a high-pace work environment.
  • Strong professional written, verbal communication and interpersonal skills including ability to interact with high level corporate executives and community leaders.
  • Ability to successfully pass a background check.
  • Reliable transportation and ability to work some nights/weekends as needed for events.
