Location: Baltimore, Md and some days in Hyattsville, MD as needed.  

Reports to: Executive Director, Deputy Director

The Neighborhood Design Center seeks a personable and organized individual to implement human resources systems and nonprofit office procedures and policies. This person will spend most of their time in the Baltimore office with at least one or two days a month in the Prince George’s County office.

 

At NDC, you’d be supporting passionate staff from multiple types of design backgrounds.  The Neighborhood Design Center, founded in 1968, provides access to pro bono design services in underserved communities in Baltimore City and Prince George's County, MD. In collaboration with neighborhood groups, local government agencies and fellow nonprofits, we support locally driven initiatives for neighborhoods pursuing improved quality of life within their built environments.

 

We are seeking an independent, detail-oriented, critical-thinker with experience in human resources, nonprofit office work and/or social work, with excellent written and verbal communication skills. This is a flexible, part-time (10-20 hours / week)  position with no additional benefits.

 

Areas of Responsibility: 

Responsibilities

1)  Human Resources

  • New employee onboarding management and maintenance

  • Employee off-boarding management and assist with completing unemployment separation forms

  • Administer employee insurance benefits (health, life, dental, vision, long term disability, short term disability,) with staff and providers

  • Process termination records and update benefit providers’ records

  • Create, revise, review, and implement just and equitable personnel policies

  • Provide necessary training to company employees regarding company policies

  • Maintain personnel files including insurance, retirement, position description, salary, tax information, background checks, training records and performance reviews

 

2) Office Management

  • Maintain HR and insurance filing and file management

  • Maintain and support compliance with current state and federal employment laws and regulations

  • Support staff as a whole, and attend to staff/team needs and dynamics

  • Liaise between Baltimore and Prince George’s county offices, vendors, donors, executive team and outside world

  • Maintain office supplies inventory

  • Support and coordinate basic copier and IT needs with vendors and contractors

  • Respond to telephone and email correspondence for the position

  • Provide occasional meeting scheduling

  • Occasionally complete donor communication and paperwork

 

3) Accounting Support

  • Support administrative needs of bookkeeper as needed with mailing, banking, data entry, communication with staff and filing

  • Occasionally support Board of Directors and staff in fundraising event planning, execution and follow up

  • Occasionally support Executive Team in preparation and submission of grant and contract proposals

Educational Background: 
Bachelor's Degree
Skills/Experience: 
  • Bachelor’s Degree in Human Resources, Nonprofit/Business Management or Social Work is preferred

  • 2+ years of administrative, operational experience in a non-profit/social work setting or comparable experience

  • Comfortable and proficient with technology (computers, phones, Microsoft Suite, Google Suite, and various cloud-based software)

  • Have a strong work ethic and ‘jack/jill of all trades’ mindset and skills, and be a quick learner

  • Excellent communicator and relationship builder who possesses the ability to respond to and prioritize information and tasks quickly and work efficiently, bringing tasks to completion

  • Be able to produce and edit impeccable and professional written correspondence

  • Must be organized and work well in a team environment with outstanding attention to detail and organization

  • Always use discretion and confidentiality when handling sensitive or personnel issues (i.e. employee files, detailed information with budgeting, donor data)

  • Ability to process and track complex information, and to systematize processes

  • Ability to make decisions and anticipate needs or issues

  • Critical thinker and problem solver who is able to adapt quickly

  • Independent, self-motivated, and self-aware who knows when to ask for feedback and input

  • Demonstrated ability and commitment to applying an anti-oppression lens to administrative work

  • Have an interest in Baltimore City and Prince George’s County culture and neighborhoods.

  • Have well-developed interpersonal and conflict resolution and negotiating skills

  • Have a strong personal commitment to community health, design and social justice. Be aware and supportive of aesthetic considerations associated with a design center

  • Have a sense of humor, and enjoy working not only as a self-starter but as part of a team, a natural cheerleader

  • Have the ability and want to work flexible hours, might work best with lifestyle of coming back to work after some time off and/or also have other employment/school/family responsibilities

  • Perform other tasks as identified by the Executive Director and Deputy Director

  • This is a part time position for 10-20 hours/ week.

    Must be able to sit at desk and utilize computer for periods of time.

    Occasional physical tasks may include lifting up to 25 lbs.

    NDC has an open office environment. Extra care and consideration are required to ensure that the open office is a productive place for all team members. As this is a small nonprofit work environment, tasks are varied. A flexible mindset and willingness to 'pitch in' are highly valued. The Neighborhood Design Center is a team-oriented and creative work environment. To perform the job, the employee will be required to communicate clearly in person and electronically with individuals and groups. The employee will be required to read and respond to documents in hard copy and electronic form, and to use a computer and copy/scanner machine. This position will require occasional work at off-site locations, including but not limited to event venues and community spaces.
